All holidays sold by EPOS Golf Travel are subject to the following terms and conditions

Please review these Terms and Conditions before using this website or finalizing any booking. By making a purchase, you consent to these Terms and Conditions.

Your Booking:

To confirm your booking, a deposit of £50.00 per person, plus any applicable flight costs, is required.

A higher deposit may be necessary if additional travel arrangements have been made specifically for your holiday or if suppliers impose additional terms (e.g., airlines may require full payment at the time of booking). You will be informed of any specific deposit requirements before you confirm your booking. If an initial deposit is paid to secure the booking, we will clearly state when the balance is due in our confirmation.

The group organiser or party leader must be at least 18 years old at the time of booking and must have the authority to make the booking on behalf of all individuals named in the booking. By paying the deposit to Epos Golf Travel, the party leader confirms they are authorized and that all party members agree to these booking conditions. The party leader is responsible for all payments due to us.

For flight bookings, it is crucial to provide correct passport names at the time of booking, as name changes may incur additional charges from airlines. Except as noted below, telephone bookings will be provisional and held for 4 days pending receipt of your deposit or full payment. If payment is not received within this period, the booking will automatically lapse. For telephone bookings where deposits are paid by credit/debit/charge card, the booking becomes firm upon verbal confirmation and a contract is established.

The balance of the holiday cost must be paid no later than 10 weeks prior to departure. Failure to do so may result in your booking being treated as cancelled, with potential cancellation charges of up to 100% of the invoice total as outlined below. Therefore, it is crucial to meet this payment deadline.

For bookings made within 10 weeks of departure, the full holiday cost is required at the time of booking.

Please review your confirmation invoice, final itinerary, tickets, boarding passes, and any other documents immediately upon receipt. Contact us immediately if any information appears incorrect, as changes may not be possible later.

If you are booking your own flights, we recommend waiting until we confirm your hotel and golf arrangements before finalizing them.

 

Price Guarantee:

The price of your holiday, as stated on your confirmation invoice, is fully guaranteed and will not be subject to surcharges, except for new consumer levies or taxes, or increases in existing taxes or duties. This guarantee is valid provided that you adhere to the specified payment conditions.

If You Alter Your Booking:

Should you need to alter any booking details after your booking has been accepted, and if we are notified at least two months before departure, an administration fee of £20 to £50 per change will apply, depending on the complexity of the alteration. Additionally, any fees imposed by airlines or other suppliers will be charged.

Changes requested within two months of departure will be treated as cancellations and will incur the cancellation charges outlined below. Please note that name changes or departure alterations may not be permitted by the carrier. While we will make every effort to assist, most carriers consider name changes as cancellations and may charge accordingly. Once airline tickets are issued, changes may require purchasing a new ticket at full cost, as the original ticket may be non-refundable.

It is crucial that the lead name on the booking is the one traveling. Failure to do so could result in issues upon arrival, for which we cannot be held responsible.

If You Cancel Your Booking:

Should you or any member of your party need to cancel your booking or any part of it after it has been confirmed, you must notify EPOS Golf Travel Ltd in writing. To cover the costs of processing your booking and the risk of not being able to re-sell the holiday, we impose a cancellation fee, as detailed below. The cancellation fee depends on when we receive your written notice, with higher fees applied for later cancellations. Please note that in some cases, green fees and/or flights may be non-refundable.

If your booking includes complimentary places (e.g., one free place for every eight booked), a reduction in the number of travelers may not necessarily reduce the overall holiday price.

Cancellation Fees (as a percentage of the total holiday price, excluding green fees and/or flights in certain cases):

57+ days before departure: Deposit
43 – 56 days before departure: 50%
22 – 42 days before departure: 75%
0 – 21 days before departure: 100%

If some members of your party are forced to cancel, cancellation charges will apply. The remaining members of the party will be responsible for any increased costs resulting from the cancellation, such as under-occupancy charges for rooms or transport arrangements.

Insurance:

It is a condition of accepting your booking that you have adequate personal travel insurance. You are responsible for ensuring that any insurance policy you obtain meets your specific needs and provides appropriate coverage for your trip.

Changes & Cancellations by Epos Golf Travel:

Occasionally, it may be necessary to amend your holiday arrangements, and we reserve the right to do so at any time. Most changes will be minor, but in the case of major changes, we will notify you as soon as possible. A major change is defined as a significant alteration to your holiday arrangements before departure, such as changing your airport of departure, a difference of more than twelve hours in your departure time, or a change to your resort hotel. Note that major changes do not include any alterations imposed by government regulations or suppliers, such as changes in airports, schedules, or accommodations.

If a major change occurs, you have the following options:

(a) Accept the revised arrangements as notified.

(b) Choose an alternative holiday from EPOS Golf Travel, subject to availability.

(c) Cancel your holiday, which may incur charges such as non-refundable air tickets.

Force Majeure:

Compensation payments do not apply if the performance of our contract with you is affected by events beyond our control, including but not limited to war or threat of war, riots, civil strife, industrial disputes, terrorist activities, natural or nuclear disasters, fires, adverse weather conditions, technical problems with transport, airport or port closures or congestion, and cancellations or changes in schedules by suppliers.

Special Requests:

Please clearly note all special requests on the booking form at the time of booking. We will forward these requests to the relevant suppliers.

Liability:

We have taken all reasonable steps to ensure that proper arrangements are made for the holidays offered in our brochure and on our website, and we accept full responsibility for the quality of your holiday as confirmed to you. EPOS Golf Travel is responsible for the acts or omissions of its employees, agents, suppliers, and subcontractors while they are acting within the scope of their employment, agency, or contract.

In the event that you or a member of your party suffers illness, injury, or death due to negligence on the part of our staff, agents, suppliers, or their employees, we accept full responsibility as understood under Turkish Law. However, we will not be liable for issues caused by the actions or omissions of the affected person(s) or third parties not connected with the provision of your holiday arrangements, particularly if such issues were unforeseeable or unavoidable, or if they were events that neither we nor the service supplier could have anticipated or prevented with all due care.

All holiday arrangements are subject to the conditions of the relevant suppliers, some of which may limit or exclude their liability to you, typically in accordance with international conventions. You are deemed to have accepted these conditions, which are available upon request from the suppliers directly.

Flights:

The times provided on your final itinerary are local times. It is crucial that you check in at least 2 hours before the scheduled departure time. Please review your tickets and/or final itinerary carefully upon receipt to confirm that you have the correct flight times. Note that flight times may change even after documents have been issued; we will notify you as soon as possible if this occurs.

Most airlines have a no-smoking policy on flights. Additionally, many airlines no longer issue paper tickets, and instead provide a reference number or boarding pass.

Baggage Allowance:

The allowance for luggage and the carriage of golfing equipment is determined by each airline and may incur additional charges. While it is extremely rare for equipment to be refused, if such a situation arises, any clubs left behind will be transported as soon as possible.

Most airlines offer a standard baggage allowance of 20 kg, with varying allowances for golf clubs. Baggage allowances can differ based on your destination and the airline. We will make every effort to inform you of each airline’s policy on weight limits and golf club carriage. However, we cannot be held responsible for any charges incurred if you exceed these allowances.

Descriptions:

We have made every effort to ensure the accuracy of the descriptions and information provided. However, we may not always have control over all aspects of the holiday arrangements. As a result, advertised facilities or services may be withdrawn or changed due to factors such as weather conditions, lack of demand, maintenance, or renovations. We will inform you if we become aware of any major changes.

Golf Arrangements:

When booking your holiday, we will ask for your preferred tee times. We will then forward your request directly to the golf courses, who will do their best to accommodate your preferences. Please note that the golf included in your holiday may be adjusted to alternative courses if the requested ones are unavailable. Any difference in price will be either charged or refunded accordingly.

Once we receive confirmation of your tee times from the golf clubs, we will notify you in writing.

Please Note:

1. Amendments and cancellations to confirmed golf bookings within 30 days of departure may incur 100% cancellation charges.
2. Once your golf times are confirmed by the golf clubs, any changes requested may be subject to an amendment fee.
3. Vouchers for green fees paid to us will be issued and dispatched with your travel documents or provided in resort. These should be presented at the golf club at least 20 minutes before your tee time.
4. Unused vouchers will not be refunded unless play is prevented due to course closure. In such cases, written confirmation from the golf club or our local representative is required before a refund can be processed. This also applies to tee times on the arrival day if you are unable to play due to delays.
5. Any local golf taxes, golf insurance, and federation fees, if applicable, must be paid directly to the golf club.
6. Most golf courses now require a valid handicap certificate. It is your responsibility to ensure you have a valid certificate and that your handicap meets the requirements of the courses you wish to play.
7. We will make every effort to arrange your requested start times. However, we reserve the right to alter start times and courses after confirmation. Golf course management may also change tee times at their discretion without prior notice. Please check in resort in advance.
8. Many courses only permit play in 4-ball groups, and smaller parties may be paired with others. Golf courses reserve the right to pair you into 4-balls, which may result in playing with individuals not part of your group.
9. Unless otherwise stated, the cost does not include golf trolleys, carts, or buggies.
10. We are not responsible for the actual playing conditions of the courses, including any changes due to periodic maintenance. We inform the courses of planned maintenance, but this information may not always be communicated. We will notify you if we are aware of any maintenance affecting your round.
11. We are not liable for accidents occurring while playing golf or participating in other sports. It is essential to have travel insurance that provides adequate coverage for golf and sports, including public liability.
12. We cannot be held responsible for the non-availability of buggies at golf courses. These should be requested at the time of booking.
13. In cases of invoicing errors, we reserve the right to correct the invoice to reflect the original quote. This does not affect the cancellation terms and conditions.

If You Wish to Complain:

If you have a complaint, it should be addressed immediately with the hotel, golf course, transfer company, car rental company, or with us or our local representatives. We cannot consider complaints or claims for compensation if we have not been notified during your stay.

All complaints must be submitted in writing within 14 days of your departure from the hotel.

Tickets & Documents:

Your travel itineraries, documents, and vouchers will be emailed to you before your arrival or provided upon arrival during your transfer from the airport to your hotel. Please review your documents thoroughly upon receipt.

Passports, Visas & Health Requirements:

It is your responsibility to ensure you possess a valid passport and, if required, any necessary visas. We cannot accept liability for any refusal of entry to transport or to a country due to incorrect or missing documentation on your part.
